Our school hosts a silent auction every year during the school’s annual carnival fundraiser, so I’ve learned a few things over the years! I’ll walk you through everything you need to know to plan a successful silent auction, from setting goals and gathering items to closing bids smoothly. Running a silent auction doesn’t have to feel overwhelming. With the right steps, you can set yourself up for smooth planning and big fundraising results. Here are the essentials:

1. Create a Planning Committee

A silent auction takes a lot of moving parts, so don’t try to handle it all alone. Put together a small team of volunteers who can help with different tasks: gathering donations, creating bid sheets, promoting the event, setting up on the day, and managing payments afterward. If you can, assign one person to oversee the process and keep things on track.

You don’t need a huge committee; just divide up the work so no one feels overwhelmed. Even a handful of committed parents can make the event run smoothly from start to finish.

2. Set Clear Goals & Procedures

Decide what you want to achieve. Is your goal to raise a certain dollar amount or fund a specific project? Knowing your priorities and target audience helps guide which items to gather, what bidding increments to use, and how to market the event.

Create an outline of auction procedures so you already know in advance how you’ll be collecting funds/the checkout process, your auction opening and closing time, what to do with unclaimed items, and what event organizers are in charge of before, during and after the event.

3. Choose the Right Format

Silent auctions can be held in-person, online, or as a hybrid event that uses both. 

In-person events let guests mingle and create excitement around bidding. You can also add a silent auction to an already existing in-person event to increase fundraising opportunities.

Online auctions open participation to a wider audience and make bidding easy from anywhere.

Hybrid options combine the best of both worlds, letting you engage guests at your event and online supporters at the same time. With some careful planning, you can create a seamless experience that engages both attendees at the event and online participants.

4. Gather Great Auction Items

Your items are the heart of your auction. Aim for a balanced mix: big-ticket experiences, mid-range gifts, and affordable options so everyone can participate. Contact local businesses and get your committee members to use their resources to find auction items. Think about what your specific audience will get excited about. Securing the items this way also helps assure our donors that the winning bidder will receive the basket contents in tact.

Make bidding as easy as possible. Traditional bid sheets work fine for smaller events. Mobile bidding apps allow participants to bid right from their phones and even get notifications when they’ve been outbid.

We always use printed bid sheets at our school’s silent auction. Many of our students’ grandparents donate and bid on the items, so mobile bidding isn’t the best choice for us. Keep this in mind when choosing your bidding method!
